Privacy Statement InToMission

InToMission (ITM) places great importance on protecting your personal data. We handle the information you share with us carefully and confidentially. In this Privacy Statement, we explain how we process the personal data of clients, participants in training courses and workshops, and visitors to our website, in accordance with the General Data Protection Regulation (GDPR). InToMission is the data controller within the meaning of the GDPR.

Who are we?
InToMission provides independent mission and crosscultural support for people living and working abroad or in multicultural contexts in the Netherlands. We support people throughout preparation, their time on the field and re-entry, and also provide training courses and workshops.

Personal data we process
We process personal data that you provide to us when this is necessary for providing our support, training courses and workshops.

The personal data we process may include:

  • Name and address details
  • Email address
  • Telephone number
  • Date of birth

As part of our support services, we may also process special categories of personal data, such as information relating to psychological well-being and personal development. We process this information only when it is necessary for providing support and with your explicit consent.

Purposes of processing
We process your personal data for the following purposes:

  • Providing support and debriefing programmes
  • Providing training courses and workshops
  • Maintaining contact and communication
  • Administrative and invoicing purposes
  • Sending newsletters and/or blog updates, if you have subscribed to them

 Legal basis for processing

We process personal data on one or more of the following legal grounds:

  • Performance of a contract
  • Your consent
  • Compliance with a legal obligation

By entering into an agreement with InToMission, you acknowledge this Privacy Statement.

Use of digital tools and AI
InToMission makes use of digital tools, including AI-assisted applications, in the preparation, processing and support of our support programmes. These tools are used solely to assist with reflection, record-keeping, structure and the quality of the support process. No confidential or personally identifiable information relating to a mission worker is shared with AI systems without explicit consent. Personal support and decision-making always remain the responsibility of InToMission and the people providing that support.

Newsletter and Publication
If you have subscribed to our newsletter and/or blog updates, we process your name and email address solely for the purpose of sending these to you. You can unsubscribe at any time using the unsubscribe link in the newsletter. Newsletters, blogs or other publications may include stories or experiences of mission and/or crosscultural workers. These are shared only with the prior consent of the person concerned.

Digital records (Huddle) and communication
We use Huddle as part of our support programmes. Huddle is a secure online learning environment in which documents and communications relating to support are shared, sent and stored. The Huddle environment is protected by personal login credentials and a password. Mission and crosscultural workers have access to Huddle themselves. Huddle also provides opportunities to connect with other mission or crosscultural workers and, upon request, exchange information.

Support agreements and records
We maintain records of support sessions. Access to these records is limited to:

  • the support worker involved; and
  • where necessary, InToMission’s care quality coordinator, solely for the purpose of safeguarding quality, continuity and due care.

Records are used only:

  • To inform other care providers, for example in the event of a referral, and only with the explicit consent of the mission and/or crosscultural worker
  • By a substitute support worker during the absence of the regular support worker, and only with the explicit consent of the mission and/or crosscultural worker
  • In anonymised form for peer consultation or professional peer review

Records are not shared with third parties unless required by law.

Security of Personal Data
InToMission takes appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. These measures include:

  • Securing our website and email through SSL certificates
  • Protecting digital systems with login credentials and passwords
  • Storing paper documents in locked cabinets

Collaboration agreements and signed documents are stored securely. We use secure accounting software for our financial administration. Access to personal data is restricted to authorised persons.
